How Do You Convert and Validate PDF/A?

What Must a PDF/A Conversion Achieve?

PDF/A is a family of archival conformance requirements. The receiving archive should specify the required part and level, such as PDF/A-2b. Choose that profile before conversion, then validate the actual output against it. The regular PDF converters on this website do not produce a validated PDF/A export. This guide explains the separate creation and checking workflow.

Which Starting Point Should You Use?

What you haveConversion routeMain check

Only an existing PDFUse a PDF/A-capable converter, such as Acrobat Pro PreflightReview conversion changes and validate the saved output.
An already validated PDF/APreserve it when no changes are neededIf you modify it, validate the new file again.
An unspecified request for “archival PDF”Ask the receiving archive which profile it acceptsDo not assume the newest part or a filename label is sufficient.

How Do You Convert an Existing PDF in Acrobat Pro?

Adobe’s standards-conversion instructions document this Preflight route. Acrobat Pro is a separate desktop product; these controls are not part of this website.

  1. Open a copy of the PDF. Choose All tools → Use print production → Preflight.
  2. Select PDF Standards from the library list and open the Profiles tab.
  3. Expand the PDF/A compliance profiles and choose the conversion profile that matches the archive’s stated requirement.
  4. Run Analyze And Fix, then save to a new file. Review any reported failure rather than treating the presence of an output file as success.
  5. Compare the saved pages with the source and validate the saved file independently using the required profile.

How Do You Export an Editable Source as PDF/A?

When you have the original document, an export can avoid reconstructing it from PDF. In LibreOffice, use File → Export As → Export as PDF, then choose the required PDF/A option under the PDF version settings where your installed version supports it. The official export settings describe the dialog; the PDF export parameters identify supported PDF/A profile values. Export a separate file and validate it afterward.

Open a Word document in the source editor when possible. Importing an existing PDF into a drawing application can change text placement and structure before export, so do not assume that this round trip preserves the original document. Inspect page count, fonts, small symbols and table alignment whichever route you use.

How Do You Validate the Exact Required Profile?

Install veraPDF from its official distribution and use either its desktop interface or command-line application. In the desktop interface, select your output file and the required validation profile, execute validation and read the report. The veraPDF desktop guide describes those controls.

For a PDF/A-2b requirement, select that profile explicitly and save the report for the exact output file. In this documented command example, replace archive-copy.pdf with your own filename:

verapdf --flavour 2b "archive-copy.pdf" > "archive-copy-validation.xml"

On Windows installations, the launcher may be verapdf.bat. Check that the report names the requested profile and reports isCompliant="true". A failure needs investigation; a different profile passing does not satisfy a requirement for 2b. The veraPDF validation reference explains explicit profiles and automatic detection. Automatic detection uses the file’s conformance metadata, so an explicit profile is useful when the receiving requirement is fixed.

What Does a Validation Failure Tell You?

Reported issuePractical correction to investigate
A font is not embeddedReturn to the source or converter settings; use an embeddable font and export again.
Color or output-intent information fails a ruleReview the converter’s color profile settings and the particular failed rule.
The file is encryptedPrepare an authorized unencrypted archival copy; PDF/A does not permit PDF encryption.
Metadata declares a different profileConvert and validate against the requested profile rather than only changing its label.
Unsupported content or document features remainRead the exact rule and determine how to preserve the needed information in a supported form.

PDF/A’s encryption restriction is also described in Adobe’s standards settings. Store or transmit an archival file through appropriate access controls when confidentiality is required; adding a PDF opening password afterward changes the conformance outcome.

What Should You Keep with an Archived Report?

For a 12-page annual report, retain the source document, the converted PDF, the validator report and a note of the profile and validation date. Confirm that all 12 pages and necessary figures remain readable. If you later merge an appendix or change a page number, treat that download as a new candidate: inspect it and rerun validation. The earlier report applies to the earlier bytes, not automatically to every later copy.

FAQs

Does PDF/A Make a Document Searchable?

Not by itself. A compliant archival document can still need a reviewed OCR layer for useful text searching, depending on its content and profile. Decide search and accessibility requirements separately.

Is PDF/A the Same as PDF/UA?

No. PDF/A addresses archival conformance, while PDF/UA addresses accessibility. A project can require both, and each requirement needs the appropriate checks.

Can I Use Merge PDF After Validation?

A merge creates a new document. Preserve the validated original, then validate the merged output again before describing it as conforming.

Does a Passing Report Prove the Document’s Facts are Correct?

No. Format validation does not verify the author’s claims, the completeness of a scan or the truth of a financial figure. Inspect content as well as conformance.

Use Create PDF to select a starting format and PDF Reader for page inspection. For ordinary browser conversion, keep the distinction between a usable PDF and a validated archival file clear.
